Corporate holiday party photo booth ideas

How to get the most out of a booth at the company party, what space it needs, and the short list of things HR or your event planner should send us.

A holiday party has one job: get people who spend the year in different meetings, floors or offices into the same room and actually talking. A photo booth helps with that more than most things you can rent. It gives people something to do in the first awkward half hour, it pulls teams into the same frame, and everyone goes home with a photo that has your company's name on it.

Here is how to set one up so it earns its place, based on how we run corporate events across Toronto, Burlington, Hamilton and Oakville.

Ideas that work at a company party

Branded strips. Put the logo and a line like "Holiday Party 2026" at the base of every 2x6 strip. People keep these on their desk until spring. We design the layout around your brand colours and send a proof before the event, and the design is included in every attended package.

A start screen with your logo. The first thing a guest touches is the booth's start screen. It should carry your logo or your event artwork rather than ours, matched to the print. It is a small thing that makes the whole booth look like part of your event rather than a rental in the corner.

Digital sharing. Guests send themselves the photo, a GIF or a boomerang by text, email or QR code, straight from the booth. That means the photos are on phones before people sit back down. After the event you get a gallery link with every photo, which is useful for the internal newsletter or the careers page.

Team photos. Ask the attendant to call up each department or office at some point in the night. Because the booth is open-air, a whole team can crowd into the frame, and a strip of the whole finance team in paper crowns is worth more to morale than it has any right to be.

Holiday props. Tell us the theme and we build the prop table around it. Keep it to things people will actually pick up: hats, glasses, a few signs. A table of fifty props mostly slows the line down.

A branded backdrop, if there is time. The white studio backdrop is included and suits most parties. For a fully branded background we design and print an 8 by 8 backdrop from $250, but it needs at least two months from artwork approval. For a December party, that means sorting it out in early October.

How much space the booth needs

About 10 feet by 10 feet of floor and a standard 120V outlet within 25 feet. Put it where people pass: near the bar, on the way to the dance floor, or in the room where people gather before dinner. A booth in a side room gets used by the people who already knew it was there.

We arrive and set up before your booked hours start. In a downtown Toronto hotel or event space, plan for us to arrive 60 to 90 minutes before doors so we can work to the loading dock window and the freight elevator.

Timing on the night

Unlike a wedding, the best time to open the booth at a holiday party is as guests arrive. That first stretch, when people are holding a drink and looking for someone they know, is exactly when the booth helps most. Run it through dinner and into the first part of the dancing if there is any.

For length, a rough guide: under about 100 guests, 2 hours is usually enough. Between 100 and 200, book 3 hours. Over 200, book 4. Essential is $550 for 2 hours, Signature is $650 for 3 hours and Ultimate is $800 for 4, all plus HST, with branding included rather than billed as an extra. Full detail is on the packages page.

Travel by city

Travel is included for parties in Burlington, Oakville, Milton, Hamilton and Mississauga. Toronto and the rest of the GTA carry a flat travel fee quoted up front, and most Toronto venues come to $50 to $100. There are venue and load-in notes on each city page, and more on how corporate bookings work on the corporate events page.

What HR or your event planner needs to send us

The quickest corporate bookings are the ones where we get all of this in the first message or two:

  • The date, the venue and the booked hours.
  • A rough guest count.
  • Your logo as a vector file (SVG, EPS or PDF) or a large PNG with a transparent background.
  • Brand colours as hex codes, and any wording you want on the strip.
  • The venue contact, plus any load-in rules: loading dock times, parking, freight elevator.
  • Whether the venue needs a certificate of insurance. We issue COIs at no charge, and most venues want 5 to 10 business days of notice.
  • An on-site contact for the night.
  • Invoicing details, such as a PO number or the name on the invoice.

Friday and Saturday nights in late November and December tend to go first, so book as soon as the party date is set. A 25% deposit holds the date and the balance is due after the event.
